Admin Assistant

Through our partnership with The Rank Foundation, we are offering a 12-month, full-time Administrative Assistant post starting on Monday 6th January 2025 until 5th January 2026. The post is part of the Time to Shine programme of leadership for people to develop their potential, professional skills and talent within a charity or social enterprise.

The post is a 37.5 hours per week based at our office at Manhattan Works in Dundee, although some hybrid work can be negotiated. Payment is Living Wage at £12.60 per hour (2025 uprise).

The Administrative Assistant post will suit a highly organised individual that is communicative, detail-oriented, joyful and service-oriented, and can manage multiple tasks and priorities. This is an entry level post, so no previous experience or formal qualifications are needed. However, the following personal attributes are necessary:

  • Reliable and Punctual. Consistent and dependable, with strong commitment to attendance, objectives, and timeliness.

  • Adaptable. Willing to adapt to changing needs, procedures, and environments.

  • Professional. Maintains a professional demeanour

  • Initiative. Proactive in anticipating needs, yet collaborative in execution

The role requires the administration of clerical tasks such as scheduling meetings, managing correspondence, preparing reports, and maintaining office supplies among others.

The Administration Assistant will support the Creative Experiences, Production and Executive Teams as well as other general office duties.

Key responsibilities:

  • Office Management. Maintaining an organised environment both physically and online; ensuring equipment is properly maintained; coordinating with suppliers and other stakeholders.

  • Scheduling and Calendar management. Coordinating appointments and meetings; coordinating travel arrangements; preparing agendas and meetings; taking minutes and distributing them as a follow up action.

  • Correspondence and Communication. Handling incoming and outgoing communications including emails, letters, and phone calls.

  • Responding to enquiries in a professional and timely manner.

  • Documents preparation and management. Draft, format and proofread documents, ensuring they adhere to the brand standards.

  • Data entry and record keeping. Maintaining accurate records; organising OneDrive and Teams (criteria).

  • Event planning and coordination. Assist the management team in planning and organising events (logistics, venue booking, catering, guests list, etc).

  • Service users and partners' support. Greeting and assisting visitors and partners in a courteous manner. Providing information and directing them to the appropriate personnel.

    This is not an exhaustive list of duties.

The candidate will comply with both Shaper/Caper’s and The Rank Foundation needs with regard to attending national conferences and local working groups.

Chair of Shaper/Caper

We are recruiting for a Chair of Shaper/Caper’s Board of Trustees.

As the new Chair of Shaper/Caper, you will have the experience and commitment to lead the Board as we build on the success of recent productions such as Small Town Boys, develop our organisation by securing multi-year funding, and set the strategic direction of the charity.

You will share our passion for dance and Dundee. In your role as champion and advocate for our work, you will be an excellent communicator and have experience building relationships with multiple stakeholders whilst articulating our values, relevance, maintaining and promoting our reputation.

You will play an essential part in creating the environment for our organisation to flourish. This will mean that your leadership of the Board both in meetings and otherwise will set the tone of our communication and support the delivery of our work.

Our work has three connected strands: artistic creation, creative experiences, and professional pathways.

We run creative programmes, workshops and performances that are inclusive and accessible. We nurture talent and provide opportunities for people to develop their creative practice and skills. We create high- quality productions that tour throughout Scotland and the UK.

Our work is inspired by stories and ideas from the people and communities we work with in Dundee and beyond.
